5. Fair Use of Provider Subscriptions
This section applies to paid provider plans. Our plans are designed for ordinary use by a single practice, and where we describe a feature as “unlimited” we mean unlimited in the normal course of that practice’s business — not without any boundary at all. This policy explains where those boundaries sit.
What each plan covers
- Scheduling Starter is billed per clinic location and covers any number of providers at that location. Patients may make up to 25 online bookings per billing period, whether they are new or returning, shared across the clinic. Appointments the clinic enters itself are unlimited and are not counted toward that allowance.
- Directory Pro is billed per provider. Each provider who accepts online bookings requires their own paid seat. There is no cap on the number of online bookings, subject to this policy.
- Preferred Listing placement is provided per clinic address and covers every provider practising at that address. Separate physical locations require separate placements.
Reasonable use guidelines
These figures are set well above what an ordinary practice uses. They exist so that sustained, exceptional volume can be identified and discussed, not to restrict normal clinical activity:
- Directory Pro: approximately 1,000 appointments per paid provider seat per month
- Scheduling Starter: the 25 online bookings included in the plan, plus a reasonable volume of appointments entered by the clinic itself
Use we do not permit
- Sharing one clinic account across separate practices, businesses, or addresses
- Accepting online bookings for providers who do not hold a paid seat where the plan requires one
- Reselling, sublicensing, or otherwise making the scheduling service available to third parties
- Automated, bulk, or artificially generated bookings, or any use intended to place disproportionate load on the Platform
- Creating multiple accounts to avoid a plan limit or this policy
How we apply this policy
If your usage substantially and repeatedly exceeds these guidelines, we will contact you first and work with you to find a suitable plan. We will give reasonable notice before changing, limiting, or suspending service on fair use grounds. We may act without prior notice only where use is abusive, automated, fraudulent, or threatens the security, integrity, or availability of the Platform for other users. Growing busier is not a violation of this policy — we would simply rather talk to you about the right plan than degrade your service without warning.
